How to Keep Useful Apartment Repair Request Records
Published by Apartments Texas · Updated
Record the condition, notice, delivery and follow-up before a repair problem becomes a dispute.
Describe facts a repair team can use
Record the apartment, affected area, first observed date, symptoms, and whether the issue is continuing. Photograph visible damage safely. Do not open electrical equipment, enter unsafe areas, or delay emergency action to collect evidence.
Use the lease's repair process and keep the ticket number. Give access information management legitimately needs without placing passwords or unrelated private details in a public message. Distinguish a new issue from a previous ticket that was closed.
Keep notice and delivery evidence
The Texas State Law Library explains that Texas repair remedies have conditions, including proper notice, time to repair, and other requirements. For qualifying issues, notice goes to the person or place where rent is normally paid; the written lease may require writing.
Save the original request, delivery evidence, management responses, visits, and a dated timeline. The library describes a second written notice in the ordinary process and tracked-delivery alternatives. A portal ticket alone should not be assumed to satisfy every legal notice requirement.
Document the outcome without taking shortcuts
After a visit, note what was done and whether the problem continues. Send a clear follow-up with new facts rather than changing your original record. Keep receipts for any related expense without assuming every expense is recoverable.
Do not automatically stop paying rent, arrange your own repair deduction, or end the lease because a ticket remains open. Texas procedures for those remedies can be strict. Consult a lawyer or legal aid provider before relying on them. A useful record supports both ordinary maintenance and later advice: it shows what happened, when management was told, and what remains unresolved without exaggerating the condition or inventing a deadline.
