Owner and Management Contact Handover for Apartment Listings

Change inquiry destinations carefully while keeping public contacts and private access separate.
Verify who controls the change
When management changes, verify the request through an established property or ownership channel. A new email claiming to be the manager is not enough by itself. Confirm the property identity, effective date, responsible contact, and which public destinations should change.
Keep ownership verification separate from access credentials. Do not ask a departing manager to email passwords or copy personal accounts to the new team. Use the platform's approved access and role process where one exists.
Separate the destinations
Inventory listing email, telephone, website, inquiry recipient, emergency information, and formal notice contacts. These can serve different purposes. Ask which ones should be public and which are internal routing details. Do not replace every field with one address simply because it is convenient.
The Texas State Law Library discusses statutory rights to disclosure of ownership and management information. A directory edit is not a substitute for any required notices to existing residents. Ask the responsible professional about those obligations rather than assuming the website update completes the transition.
Confirm continuity without exposing private data
Record the authorized old and new destinations and the approved switch time. Check the public page and routing configuration after the change. Any test message should use an approved test process, not create a fake renter inquiry to a real property without permission.
The FTC's guidance cautions against misleading rental service claims; a listing that promises direct contact should have an accurate destination. Retain the change record and resolve any pending inquiries through authorized channels. Do not automatically transfer applicant documents or private correspondence to a new contact merely because a public email changed. Handover should preserve a functioning contact route without expanding access beyond what has actually been approved.
