A Community Listing Checklist for Property Managers

Property management

Build a clear listing around the correct property, current facts and renter decisions.

Establish the property identity

Use the community's current name, complete address, city, and official contact route. Distinguish similarly named properties and nearby branches. Confirm that the listing represents the community you manage rather than borrowing details from a portfolio page.

Keep a private source record for each field: who supplied it, when it was checked, and which document or official page supports it. A public listing can remain concise while the team retains evidence for later corrections.

Make the offer understandable

Describe floor plans, unit features, amenities, pet rules, parking, lease options, and price conditions only as supported. Separate community-wide facilities from features present in selected apartments. If availability is unknown, route the question to management rather than turning a floor-plan description into a vacant-unit claim.

The FTC advises rental businesses to include mandatory fees clearly in advertised pricing and avoid misleading property or service claims. Use a complete cost presentation, with variable charges explained, rather than a low headline that hides required services.

Review audience and ownership

Describe the property rather than the kind of person you want living there. HUD guidance warns against advertising that expresses protected-class preferences or limitations. Review text and media together so attractive copy does not introduce discriminatory assumptions.

Assign an owner for corrections, prices, photos, and contact changes. Before publication, check links and read the page on a phone. This checklist is an editorial workflow, not a claim that a completed form proves legal compliance. Escalate uncertain policy or fair-housing questions to the appropriate qualified reviewer, and remove unsupported claims instead of making them sound more confident.
