A Floor-Plan Data Checklist for Apartment Listings

Keep bedrooms, dimensions, features and availability tied to the right plan and unit.
Define what each record represents
Assign a stable identifier to each floor plan and keep its marketing name separate. Record bedrooms, bathrooms, reported square footage, and the property's source. Where a plan has a size range, preserve the range rather than selecting the largest number as though it described every apartment.
A floor plan is not automatically an available unit. Keep apartment-specific attributes, rent quotes, ready dates, and occupied status in separate records linked to the plan. This prevents one attractive layout from becoming an unsupported inventory claim.
Check features and measurements
Verify whether balconies, in-unit laundry, storage, accessible features, or renovated finishes apply to all apartments using that plan or selected units only. Describe the distinction. Do not infer features from a model photograph when the source does not establish them.
If dimensions or drawings are supplied, retain their provenance and any stated qualifications. Avoid presenting an illustrative plan as a measured survey. Ask management to resolve contradictory bathroom counts or area figures before publication.
Review how the renter sees it
Compare the card, detail page, filters, and downloadable plan. Check that a studio is not accidentally treated as a one-bedroom and that plan names do not hide material differences. Use property descriptions rather than assumptions about which protected groups should occupy a layout.
HUD guidance notes that occupancy-policy reasonableness depends on facts such as unit size and configuration; a bedroom count alone is not a complete legal occupancy assessment. The FTC warns against misleading property claims. Keep the editorial check distinct from a legal determination, and route disputed capacity or accessibility questions to a qualified reviewer rather than converting a database value into a guarantee.
